What You'll Do
In Support of Director of Properties and Household Operations:
- Provide comprehensive administrative and project support for household operations and personal assistance needs, ensuring a polished and organized environment.
- Coordinate sophisticated travel arrangements, crafting detailed itineraries and managing expense reports; assist with family travel planning to create effortless experiences.
- Serve as a communication hub for the Principal’s scheduling needs, maintaining clarity and discretion at all times.
- Offer backup support for family schedules, appointments, and household organization, anticipating needs before they arise.
- Assist with event planning and execution, from intimate gatherings to large-scale celebrations at the residence, Barn, or elsewhere.
- Contribute to seasonal traditions and year-round gift giving, infusing creativity and attention to detail into every occasion.
- Manage incoming and outgoing packages with care and professionalism.
- Oversee procurement of household supplies, gifts, and specialty products, streamlining processes for efficiency and excellence.
- Act as the primary point of contact for Amway-related orders, ensuring timely fulfillment and continuous improvement.
- Collaborate with household staff, Baton Collective, and RDV Corporation to maintain harmony across operations.
- Coordinate meeting logistics, including conference rooms, technology support, and hospitality details.
- Respond to ad hoc requests and errands with flexibility and discretion.
In Support of Senior Property Manager:
- Works with Senior Property Manager to strategically plan for property operations with innovative and creative solutions for new and existing challenges. Continuously works proactively on long range planning.
- Maintains property schedules and works with the Property Manager to ensure properties are appropriately stocked for events.
- Performs special projects or errands at request of Senior Property Manager
Travel
- Remain available to troubleshoot travel-related issues, ensuring smooth experiences for family members.
- Research and recommend destinations, accommodations, and activities, and curate bespoke itineraries for all travel.
- Arrange domestic and international travel—commercial or private—with meticulous attention to detail.
- Secure private ground transportation and ensure vehicles are prepared for journeys.
- Manage lodging options, bookings, and confirmations, delivering a stress-free travel experience.
- Plan complex group travel, harmonizing flights, accommodations, and activities for memorable trips.
Personal Assistance & Support
- Navigate multiple priorities with poise, confidentiality, and unwavering follow-through.
- Communicate effectively with family members and key contacts via email, text, or call, always exercising discretion.
- Prepare and distribute weekly travel reports, ensuring all stakeholders remain informed.
- Maintain and synchronize multiple calendars, coordinating personal and professional appointments with precision.
- Orchestrate family and social events—birthdays, anniversaries, school milestones—partnering with vendors and planners to create unforgettable experiences.
- Curate thoughtful gift selections for special occasions, elevating presentation with creative wrapping and elegant details.
- Utilize technology to track preferences, addresses, and seasonal lists, ensuring personalized touches.
- Handle administrative tasks including correspondence, reports, and presentations with detail and professionalism.
- Review vendor invoices for accuracy, manage expense reporting, and oversee timely payments.
- Execute errands, shopping, and logistical support with efficiency and discretion.
- Embrace special projects with enthusiasm and adaptability.
- Support Principal with personal assistance in private spaces if/as needed.

- Serve as the central coordinator for household operations, fostering an environment of order and excellence.

What You'll Bring
- Minimum of three years of administrative experience in a professional setting; Bachelor’s degree preferred.
- Exceptional attention to detail and commitment to the highest standards of service.
- Proficiency in Microsoft Office Suite, Mac, Concur and other related technologies.
- Strong organizational skills with the ability to prioritize, self-direct, and anticipate needs.
